POSITION SUMMARY: Plans, directs and coordinates the activities of the operation in support of the goals, objectives and policies established by The Cancer Center of Hawaii Executive Board.
ESSENTIAL JOB FUNCTIONS:
A.Human Resources 1.Hires/ Terminates Employees 2.Evaluate Employees and their job performance annually 3.Direct Employees for special projects and/or tasks 4.Provide New personnel with employment papers, benefits, payroll, and handbook, etc. 5.Coordination of COBRA Benefits for previous employees 6.Maintain complete personnel files 7.Oversee and manages employees 8.Develop Orientation and Training Protocols 9.Provide new employee packet to new personnel 10.Develop and update employee job descriptions 11.Maintain and yearly update employee credentialing 12.Development and coordination of annual employee compliance 13.Update policies and operational procedures 14.Schedule in services for staff and doctors.
B.Payroll 1.Process Payroll and appropriate payroll deductions 2.Approval of timesheets 3.Approval of OT (overtime) 4.Final Approval of PTO requests 5.Maintain Employee PTO Calendar 6.Coordination of payroll data with accountant
C.Accounts Payable Functions 1.Review and approve invoices 2.Research and Initiate outside service contracts.
D.Administrative/Fiscal 1.Monitor and evaluate current long strategic goals, objectives and policies to review for possible implementation. 2.Works collaboratively with the medical staff, Executive Board and its Chairperson to ensure the delivery of quality, cost effective radiation oncology services and to ensure all applicable regulatory, safety and legal requirements are met and followed. 3.Works with Medical Director to determine the need for and allocate operational resources including personnel, space and equipment. Keeps abreast of technological and operational advances pertinent to the organization’s activities. 4. Develops, implements, monitors and evaluates systems for communication, personnel management, performance improvement, risk management, advertising and promotion. 5. Works with Medical Director to represent the organization to referral sources, patients and families, physicians, payors, vendors, professional associations, regulatory agencies and the general public. 6. Decision-Maker: Handling many issues that include risk management, project delays, and patient dissatisfaction and employee problems. Make effective decisions that will not only help the company run smoothly but that also serve to prevent difficult situations in the future.
E. Supervision: 1. Provides leadership and supervises employee and contractors. Supervisory activities include recruiting, hiring, scheduling, training, performance evaluation, promotion, counseling, discipline and discharge in accordance with the organizations’ policies and applicable legal guidelines. 2. Promotes a positive working relationship with and among staff to ensure that staff performs their responsibilities in a manner that fosters superior customer service. 3. Oversee Leadership Roles assigned to certain staff members. 4. Manage and coordinate outside vendor/contractual services.
F.Operations: 1. Provide a work environment that engenders positive energy, creativity and teamwork among employees to ensure that this goal is achieved. 2. Conducting meetings and addressing concerns from each department. 3. Setting a professional example by showing leadership qualities. 4. Institute Rules: Set rules and procedures for employees to follow. This includes setting policies in the workplace to ensure effective implementation and adherence among each and every employee in the organization. 5. Complies with HIPAA regulations as they apply to job; protects patient confidentiality 6. Keeps abreast of changes in insurance and regulatory requirements. 7. Coordination of IT needs of the department 8. Project management 9. Coordination of facility needs with landlords 10. Ensure compliance with OSHA and Radiation Safety Standards 11. Provide state agencies with required information as needed (work comp, radiation safety, etc) 12 Responsible for meaningful use report and attestation
OTHER REQUIREMENTS: A. Complies with TCCOH’s policies and procedures to ensure the best quality care for patient and promote safety. B. Promotes a positive, professional, working relationship with patients, physicians, peers and staff.
MARGINAL JOB FUNCTIONS: 1. Performs other duties/special projects as needed
PERFORMANCE REQUIREMENTS: 1.Able to operate office machinery, including a PC and a 10 key adding machine 2.Skill in identifying problems and recommending solutions 3.Skill in preparing and maintaining records 4.Skill in establishing and maintaining effective working relationships with patients, physicians, staff, and the public 5.Ability to react calmly and effectively in emergency situations 6.Ability to interpret, adapt, and apply guidelines and procedures 7.Ability to communicate effectively in person, over the phone, in writing and by computer
WORKING CONDITIONS 1.Not substantially subjected to adverse environmental conditions. Exposure to radiation, body fluids, communicable diseases and mechanical/electrical units. 2.May be required to work After hours and Weekends
TYPICAL PHYSICAL DEMANDS 1. Essential: standing, walking, seeing, hearing, speaking; moving, lifting and positioning patients; lifting usual weight of 15 pounds up to 30 pounds; pushing/pulling 10 pounds; reaching above shoulder level; repetitive arm/hand motions. 2. Continuous: carrying usual weight of 5 pounds.
MINIMUM QUALIFICATION 1. Associates Degree 2. 3 years supervisory experience in healthcare 3. 2 years Human Resource Experience
PREFERRED QUALIFICATION 1.Medical Billing 2.ARIA 3.Experience in Radiation Oncology or Medical Oncology clinic
